Your care information should stay clear and respected.

Information you provide

We collect information you submit when creating and using an account, including your name, email address, profile details, service area, sitter services and rates, pet profiles, care instructions, connection and booking requests, private messages, feedback survey responses, optional testimonial permissions, and content shared in Owner Hubs such as photos, videos, visit updates, and replies.

Please avoid submitting sensitive personal information that is not needed to coordinate pet care.

Information collected automatically

We collect limited technical and security information needed to operate the service, such as browser and device information, request details, IP address, authentication events, error logs, and security signals. We use essential cookies or similar technologies to keep you signed in, maintain session security, and operate account features.

We also use first-party session storage and event logs to understand basic product usage, such as visits to the home and plans pages, account setup steps, booking requests, and Pro trial conversions. The session identifier expires when the browser tab session ends. We do not send pet names, care notes, messages, email addresses, precise addresses, or Owner Hub content to this analytics log.

How we use information

• Provide accounts, profiles, pet records, discovery, connections, bookings, messages, and Owner Hubs.
• Authenticate users and protect accounts.
• Process subscription access and maintain billing status.
• Operate, secure, troubleshoot, understand, and improve Helios.
• Send essential service communications and respond to support requests.
• Comply with law, resolve disputes, and prevent misuse or fraud.

Sharing and visibility

We do not sell personal information. We do not use personal information for cross-context behavioral advertising. Sitter profiles appear in discovery only when the sitter chooses to be listed. Messages, bookings, pet details, and Owner Hub content are shared with the people connected to that care relationship.

We may disclose information when required by law, to protect users, animals, property, or the service, or as part of a merger, financing, acquisition, or sale with appropriate notice and safeguards.

Service providers

We rely on providers that process information for specific operating purposes: Supabase for account authentication, OpenAI Sites and Cloudflare infrastructure for hosting and storage, Stripe for Helios Pro billing, and Shopify for separate digital-product purchases. Helios does not store full payment card numbers. Providers handle information under their own terms and privacy commitments.

Retention

We retain information while your account is active and as reasonably needed to provide Helios, maintain security, meet legal and accounting requirements, resolve disputes, and enforce agreements. Retention varies by record type. When information is no longer needed, we take reasonable steps to delete or de-identify it, subject to backup and legal-retention requirements.

Your choices and requests

You can update much of your profile information inside Helios, control whether a sitter profile is listed, and manage Pro billing through Stripe’s customer portal. You may request access, correction, deletion, or a copy of personal information by emailing hello@helios-co.org. You may also object to or ask us to limit certain processing where applicable. We may need to verify your identity before completing a request.

Security

We use reasonable administrative, technical, and organizational safeguards designed to protect information. No online service can guarantee absolute security. Use a unique password, protect private Owner Hub links, and contact us promptly if you suspect unauthorized access.

Age restrictions

Helios accounts are for adults age 18 and older. The service is not directed to children, and we do not knowingly collect personal information directly from anyone under 18. If you believe a minor created an account or submitted personal information, contact us so we can review and remove it where appropriate.

Changes and contact

We may update this policy as the service and legal requirements change. The effective date will show the latest version, and material changes may also be communicated through the service or by email.
